Domain Services CL ("we", "us" or "our") respects the privacy of customers and people who contact us about cleaning, property services, Britex equipment hire, car rental or our website.
This Policy explains the personal information we may collect, why we collect it, how we use or disclose it, how we protect it, and how people can contact us about access, correction or a privacy concern.
Where the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs) or another privacy requirement applies to us or to a particular activity, we handle personal information in accordance with those requirements. We also use this Policy to explain our privacy practices more generally.
1. Personal information we may collect
Depending on the service, we may collect:
- Name, residential or service address, email address and telephone number
- Information supplied in a quote request, including suburb, preferred date, property type, photographs or descriptions of the work required
- Booking, service, equipment collection and return information
- Payment, invoice, refund, bond and transaction information
- Communications with Domain Services CL

- Vehicle or equipment location information where GPS or similar technology is fitted and its use has been properly disclosed
- Technical information generated when using our website or online services, such as device, browser, IP or server-log information where collected by the website host or service provider
We aim to collect only information that is reasonably necessary for our business activities or required or authorised by law.
2. Why we collect and use information
We may use personal information to:
- Respond to enquiries and prepare quotes
- Confirm bookings and provide cleaning or property services
- Administer Britex equipment hire and car rental agreements
- Verify identity and, for car rental, verify driver eligibility
- Process payments, bonds, refunds and properly payable charges

- Maintain business, taxation and accounting records
- Comply with legal, regulatory, insurance and law-enforcement requirements
- Improve our services, website and business operations
3. Identity documents and data minimisation
We may ask to sight or record details from identification where reasonably necessary for an equipment hire or car rental. For car rental we may also need to verify a valid driver licence.
Where retaining a copy or photograph of an identity document is not reasonably necessary, we prefer to record only the details needed for the transaction. If we do retain an identity document, access is restricted to people who reasonably need it for the relevant business purpose.
4. GPS tracking and location information
Some rental vehicles or hired equipment may be fitted with GPS, telematics, security or location technology. Where tracking is used, it will be disclosed in the relevant rental or hire documentation.
Location information may be used for legitimate purposes such as theft or loss prevention, locating overdue or unreturned property, recovery, responding to emergencies, investigating suspected unauthorised use, protecting our property, managing insurance matters or complying with legal requirements.
Where consent is required under applicable law, we will obtain the required consent from the person in lawful possession or control before or when possession is provided. We do not use disclosed tracking technology for unrelated marketing or routine monitoring of a customer's personal movements.
5. Payments and security deposits
We may collect information necessary to process service charges, hire or rental charges, bonds, refunds and properly payable additional charges. Where a third-party payment provider is used, payment information may also be handled under that provider's privacy and security practices.
We take reasonable steps not to retain full payment-card information unless it is reasonably necessary and handled through an appropriate payment process.
6. Accidents, damage, insurance and recovery
If hired equipment or a rental vehicle is damaged, lost, stolen or involved in an incident, we may collect information reasonably needed to investigate and resolve the matter, including photographs, descriptions, witness information, police report details, repair quotations, invoices, insurer information and liability or recovery information.
7. Tolls, fines and traffic infringements
For car rental, information may be provided to toll-road operators, police, councils, road and transport authorities, courts or enforcement agencies where reasonably necessary to identify the responsible driver or deal with a toll, parking matter, traffic infringement or other offence associated with the rented vehicle.
8. When we may disclose personal information
Where reasonably necessary for the relevant purpose, we may disclose personal information to:
- Employees or authorised representatives
- Payment processors and financial institutions
- Vehicle insurers, insurance brokers or investigators
- Repairers, towing, roadside-assistance or recovery providers
- GPS, telematics or equipment-security providers

- Accountants, professional advisers, lawyers or debt-recovery providers
- Toll-road operators, government agencies, police, courts, tribunals or road authorities
- Other service providers reasonably necessary to operate our business
We may also disclose information where required or authorised by law. We do not sell customer personal information.
9. Overseas processing and cloud services
Some technology, hosting, communication, payment or cloud providers may store or process information outside Australia. Where applicable law requires us to take steps regarding overseas disclosure, we will do so. If we are required to identify particular countries and can reasonably determine them, we will update this Policy.
10. Direct marketing
Where permitted by law, we may use contact details to tell existing or prospective customers about Domain Services CL services or offers. A person may ask us to stop direct marketing at any time. Administrative messages needed to manage an enquiry, booking, payment, hire or rental may still be sent.
11. Website and third-party platforms
Our website may generate ordinary server logs and may link to services such as Instagram, Facebook, email or other third-party platforms. Those third parties may collect information under their own privacy practices.
If we introduce analytics, advertising cookies or other tracking technologies that require additional notice or consent, we will update the website and this Policy as appropriate.
12. Security
We take reasonable steps appropriate to the information we hold to protect it from misuse, interference, loss and unauthorised access, modification or disclosure. Measures may include restricted access, password protection, secure devices and systems, controlled handling of paper records and appropriate service-provider arrangements.
13. Data retention
We keep personal information only for as long as reasonably required for the purpose for which it was collected, including providing services, administering hire or rental agreements, maintaining business and financial records, managing insurance or claims, resolving disputes, recovering debts and complying with legal obligations.
When information is no longer required and we are not legally required to retain it, we take reasonable steps to securely destroy or de-identify it.
14. Access and correction
You may contact us to request access to personal information we hold about you or to ask us to correct information you believe is inaccurate, incomplete, out of date, irrelevant or misleading. Where the Privacy Act's Notifiable Data Breaches scheme applies to us, we will assess suspected eligible data breaches and provide notifications where required by law.
17. Changes to this Policy
We may update this Privacy Policy from time to time to reflect changes to our business, technology, services or legal requirements. The current version will show the latest effective or update date.
